A visual notice with one clear purpose
“DRAFT”, “COPY” or “INTERNAL USE” explains the document’s status. Keep it brief; up to 60 characters are allowed, but one or two words are usually clearer.
A watermark does not encrypt a file, block printing or prove authenticity. “CONFIDENTIAL” does not control how the copy is shared. It cannot replace digital signatures or access controls.
Position, size and opacity
A central diagonal stands out; a top or bottom position is more discreet. For one word on A4, try 40 to 52 points and 20% opacity. Adjust after checking tables, signatures, stamps and dark backgrounds.
Low opacity lets the background remain readable. Transparency does not fix a poor position. Check landscape and rotated sheets too: placement follows visible orientation.
Apply it to the final version
Merge, reorder and delete pages; correct orientation and add numbering before applying a watermark. Pages inserted later may lack the notice.
- Load the PDF and enter your text.
- Leave selection blank for all pages or use 1,3,5-8.
- Choose position, angle, size and opacity.
- Create the copy and inspect its beginning, middle and end for obscured information.
Compatibility and review
The font supports common letters and punctuation but no emoji. Existing marks are not removed. Limits are 500 pages, 18 to 72 points and 10% to 60% opacity.
Encrypted or damaged files may fail. Preserve the original, clearly name the copy and verify forms, annotations and signatures; the PDF is rewritten locally.
Criteria for reviewing and delivering the result
Define the copy’s message before adjusting appearance. A draft, sample and review document can serve different purposes. Use a short label recipients understand and a file name identifying the version. The visible mark helps recognize status but does not manage revision history or prevent sharing outside the original context. Keep that distinction clear when deciding how the file should be described in a delivery note.
Compare the mark over small text, tables and dark backgrounds. Choose placement and transparency that remain visible without obstructing reading. A print trial can reveal different contrast from the screen. Review the downloaded PDF before distribution and retain an unmarked source for a final version. If pages are added afterwards, verify that new sheets receive the intended treatment. When status changes, prepare a new copy from an appropriate source instead of accumulating contradictory labels. Visual review complements any distribution controls used outside the tool. Inspect several page types because a setting suitable for the cover may not work equally well across the entire report.
Mark one sheet as a draft
Load the sample and enter DRAFT. Select page 2 only, center position, 48-point size, 45° angle and 20% opacity.
The document keeps three pages. Only A2 receives DRAFT; A1 and A3 provide a comparison.
Open the copy and check that both the notice and original contents remain readable. Existing watermarks are not removed.
